Accommodation

A limited amount of accommodation may be available for delegates registering on-site - please contact the congress secretariat (espn2009@mci-group.com) if you have any queries.

The University offers high quality bed and breakfast accommodation at very competitive rates, booked via the online registration form. Single, twin and double rooms are available. Double occupancy rooms are limited in number so early booking is advised.

Single Accommodation:

Single accommodation is offered in two buildings, Shackleton and Mason. Both Shackleton and Mason offer accommodation with private bathrooms just 15 minutes walk from the University main Campus and easy access to the City Centre and Broad Street, which is the main eating and entertainment area. The reception which is situated in Shackleton is open 24 hours a day with staff available at all times throughout the conference. All rooms at the University are non-smoking.

Breakfast is served between 07:15 - 09:15 in Shackleton building only. Guests staying at Mason will need to walk to Shackleton for breakfast.

Parking is available at The Vale at a cost of £1 per day.   

Internet access in bedrooms is available but is not included in the room rate.

Room rate: £65.00* per night bed and breakfast, including UK VAT at 15%

Shackleton building has the following facilities:

Mason building has the following facilities:

• Brand new accommodation

Double Accommodation:

(A limited amount of double rooms are available so early booking is essential).

The Conference Park is located in three buildings – Lucas House, Hornton Grange and Peterscott House.

The Conference Park has the following facilities:

• All rooms have an adjoining bathroom with towels, shower gel & shampoo
• 2 bars
• 2 dining rooms
• Reception in Lucas House open 24hrs a day

All guests booked into the conference park must collect their keys from the main reception in Lucas House. If you would like to make a reservation at either of the dining rooms, you must book beforehand at the reception of Lucas House.

Breakfast is served in the dining room of Lucas House; weekdays from 07:30 – 08:45 and at weekends from 08:00 – 10:00am. 

Parking is available at Lucas House and guests who are staying at Hornton Grange can obtain a parking pass for Lucas House from the main reception. 

Wifi service is available in public areas of the Conference Park.  Wifi in guest rooms is not guaranteed.

Rooms with access for people with disabilities can be provided upon request.

Room rates:

Single occupancy: £85.00* per night bed and breakfast, including UK VAT at 15%

Double occupancy: £116.00* per night bed and breakfast, including UK VAT at 15%

Accommodation is subject to availability and requests received after 20 July 2009 will not be guaranteed.  Reservations are made on a first come, first served basis.  Names of persons sharing rooms must be indicated.  Rates are in Pounds Sterling (£) and are per room, per night, service and VAT included.  Participants are asked to complete the online Registration and Accommodation Form to book their room.

* All reservations will have a one off non-refundable handling fee of £25.

Reservation and Payments

Reservation and payment: Only guaranteed reservations will be accepted.

To guarantee your reservation full payment must be received, either by bank transfer or by credit card.  Please indicate the delegate’s name and “ESPN 2009” on ALL bank transfers and mark them “Free of charge to the receiver account.”  From 20 July 2009, only payments made by credit card will be accepted.

Accommodation cancellation policy:

All cancellations must be sent to MCI UK Ltd in writing (fax, letter, or email). In case of cancellation up to 15 July 2009 deposits will be refunded less GBP £50, for administrative costs. After this date, deposits will not be refunded under any circumstances. In case of late cancellations (after 15 July 2009), room cancelled, cancelled nights or no-show, the full stay if the hotel room will be charged..

Group cancellation policy: TBC

Accommodation modification policy
A modification handling fee of GBP £20. - Per room will be charged for every change received after 15 July 2009.

Any enquiries or requests for additional information, changes or cancellations of room reservations should be addressed directly to MCI UK Ltd. by email or in writing.

Group Reservations

Group reservations will be handled by MCI UK LTD with separate contracts. Please contact MCI UK LTD for further information.

Check-in/Check-out Time

Check-in time is 15:00 or later.  If you are arriving after 18:00, please notify MCI UK LTD in advance on your registration form.  Check-out time is 10:00.
